Where to start with AI in UK hospitality in 2026
AI is now on almost every hospitality supplier’s roadmap, and surveys suggest most operators expect to use more of it within a year. Yet for many independents the honest question is simpler: where do we actually start, and how do we avoid paying for something nobody uses?
1. Start with a problem, not a product
The best AI projects begin with a specific, measurable pain point: too much food waste, rotas that never match demand, enquiries missed out of hours, or managers spending evenings matching invoices. Write down the two or three problems that cost you most in time or money. That list, not a vendor demo, should drive what you do next.
2. Check your data foundations
AI learns from your history. If sales live in the EPOS, bookings in another system, stock on a spreadsheet and invoices in an inbox, the results will be patchy. Research from Access Hospitality suggests managers lose hundreds of hours a year switching between unconnected systems — time that also signals your data isn’t joined up. Connecting systems, or tidying how data is captured, is often the most valuable first step.
3. Use what you already pay for
Many EPOS, booking, rota and accounting platforms now include forecasting, automated ordering or AI assistants. Switching these on and configuring them properly is usually cheaper and faster than buying something new.
4. Run a short, measured pilot
Pick one use case and one site. Agree what success looks like — for example, a reduction in waste, labour hours as a percentage of sales, or response time to enquiries — and run the pilot for four to eight weeks. Keep a human in the loop and gather feedback from the team using it.
5. Scale what works, stop what doesn’t
If the pilot hits its targets, roll it out and move on to the next problem on your list. If it doesn’t, you have learned cheaply. Either way, you are building confidence and capability rather than collecting software.
